The best way to share wedding information with the couple is to give them one place to check and update it —a wedding portal— instead of spreading it across emails, WhatsApp and loose documents. The couple knows where to look, you stop being the switchboard and nobody works with stale data.
The problem with planning a wedding over WhatsApp
WhatsApp is instant, which is exactly why it’s so tempting. But a decision made in a voice note on a Tuesday night isn’t recorded anywhere, and three weeks later nobody remembers whether it was eight kids’ menus or ten.
The more weddings you run, the more groups, voice notes and information that only lives on your phone.
What to share with the couple (and what not to)
Yes: the guest list and RSVPs, the budget and payments, their tasks, the timeline, the seating chart and the decor inspiration.
No: your internal notes on vendors, your team’s coordination tasks, your margins or conversations with other vendors.
The key is that sharing shouldn’t be all or nothing: you need to decide item by item.
How to share tasks with the couple
Split the checklist in two: what depends on you and what depends on the couple —finalising the guest list, choosing the menu, confirming hair and make-up times. The couple’s tasks need due dates and need to be in front of them, so they can tick them off when they’re done.
In Wedinest each task can be private to the studio or shared with the couple, and shared tasks appear in their portal with their due dates. We explain it in detail in task management for wedding planners.
A wedding portal for every couple
A client portal gives the couple direct access to their wedding: guests, budget, tasks, timeline, seating and moodboard. When they update something, you see it instantly and get a notification.
With your studio’s branding, the portal also reinforces your professional image: to the couple it’s your platform, not just another tool.
Ground rules for good communication with the couple
Agree in the first meeting where each thing lives.
Use WhatsApp for urgent matters and the portal for anything that needs to be on record.
Go through the portal together at every check-in meeting.
Close every decision with a task or a note in the wedding, not in a chat.
Wedinest tip: on the day you invite the couple to the portal, sit down with them for ten minutes and show them where everything is. It will save you dozens of messages.
Questions and files in the wedding chat
The couple can also talk to the studio in their event chat. They can attach documents, images and videos, reply to a specific question and check pinned messages. Team members with event access can follow the conversation without asking you to forward messages.
Agree how to use chat alongside the rest of the portal: questions belong in the conversation and decisions are recorded in the relevant section. The budget, tasks and timeline then continue to show the current plan.
